CUSTOMER PROFILE
The business has three (home based) employees who each write long, technical documents, using email to send partly written items for proof reading and peer review. Microsoft Outlook is used to store all information.
BUSINESS SITUATION
Computers are 'backed-up' by copying to CD at the end of each week - usually. In reality business critical information may be unsecured for weeks. Even on an occasion when a back-up was done on schedule, software problems caused the loss of many days work; causing failed client deadlines, compromised work quality and cash-flow issues. And it was fortunate that it wasn't far worse.
SOLUTION
Email5 Professional was implemented with all email reliably copied every day and quickly recovered within three minutes when another spate of hardware failures meant replacement of hard disk drives. Now sections of finished text are stored in Shared Folders that are also held on the central email service. There is now no need to backup email (Outlook) or shared folders and the employees can continue using any computer in the event of a hardware problem.
BENEFITS
There is no time lost looking for finished copy with an immediate improvement in productivity. Also there is no wasted effort where previously both employees would update the same information unaware that each other were already working on a later version.
Most importantly, the business can survive any computer hardware failure with no loss of critical client documentation. Project delivery has been improved overall by 10% with a ten-fold estimated payback. The employees are also more confident in their work and spend less time on the telephone discussing previous work with each other.
